Executive Assistant to Managing Director (m/f/d)

We are looking for a team member who will provide assistance to the Managing Director and VP Global Brand Leader. The role will be responsible for all administrative tasks as needed by the members of the leadership team such as booking travel, tracking and submitting expenses, organizing meetings, and overall schedule management. The role is critical to the success of the leaders. The role will have access across the global organization on behalf of the leaders. A great opportunity for someone who has a passion for travel and learning more about the industry.



  • Overall administration duties
  • Expenses – collecting and submitting
  • Organizing travel – sourcing flights and hotels, booking and amending as needed
  • Calendar management – scheduling meetings, rearranging meetings,
  • Replying on behalf of executives across all levels and companies
  • Booking meetings and arranging team meetings
  • Taking notes during select meetings and providing minutes



  • Ideally 2 years of work experience in hospitality, travel, or event agency, with a background in administrative and production functions
  • Great communication skills in English and German, additional languages are beneficial
  • Team player with proactive and positive attitude
  • Experienced and comfortable with administrative duties
  • Fiscally responsible – excellent with numbers and ensuring costs are within budget
  • Strong attention to detail
  • Excellent time management and organizational skills
  • Organizing complicated schedules
  • Can manage senior leaders with challenging and changing schedules
  • Ability to work under pressure
  • High-quality standards and client orientation
  • Comfortable with travel systems and can adapt to learning new systems
  • Expense management
